What to put on an invoice
An invoice is a request for payment, and it doubles as a record for you, your client and the tax office. The details below are expected almost everywhere. Some countries require more, so check your local rules if you are VAT- or GST-registered.
- Your details: business name, address and contact information, plus your tax or VAT number if you have one.
- Your client's details: the person or company you are billing and their address.
- A unique invoice number: numbers should run in sequence without gaps, such as INV-0041 followed by INV-0042.
- Dates: the date of the invoice and the date payment is due.
- What you are charging for: a clear description, quantity and price for each item.
- Totals: subtotal, any discount, tax with its rate, and the final amount due.
- How to pay: bank details or a payment link, usually in the notes or terms.
Why a clear invoice gets paid faster
Most late payments are not refusals. They are invoices that were confusing, landed with the wrong person, or didn't say how to pay. Invoice, quote or receipt?
A quote or estimate is sent before the work, to agree on a price. An invoice is sent after the work or delivery, to ask for payment. A receipt confirms that payment arrived. You can make all three here by changing the title at the top of the document. The invoicing guide explains when to use each one.
Common questions
Is this invoice generator really free?
Yes. You can create and download as many invoices as you like without paying or creating an account. The site is supported by a small number of ads, which never appear inside the invoice or your PDF.
Do I need to sign up?
No. Open the page, fill in the invoice and download it. There is no account, password or email address involved.
Where are my invoices saved?
In your own browser, on your own device. Invoices you download are listed under My invoices. They are not stored on our servers, so clearing your browser data deletes them. Keep the PDFs you download as your permanent copies.
Can I invoice in my own currency?
Yes. Every currency in use today is available, and you can search by name, code, symbol or country. Amounts are formatted the way that currency is normally written.
How do I add VAT, GST or sales tax?
Use the Tax line in the totals. Choose a percentage or a fixed amount, then click the word Tax to rename it to VAT, GST, IVA or whatever your country uses. Add your tax number in your details at the top.
Can I change the words on the invoice?
Yes. Every heading on the invoice is editable. Click a label such as Bill to or Due date and type your own wording. Save your template to keep the changes for next time.
Does it work on my phone?
Yes. The invoice editor adapts to small screens, and the download button stays at the bottom of the screen while you type.
